Synchronizing Tasks with MS Project™
Data Exchange with MS Project™
Tasks can be
- imported from MS Project™
- exported to MS Project™
- synchronized with MS Project™.
Work items cannot be exchanged with MS Project™.
The underlying concept for the first option is as follows:
- MS Project™ is
used to create a project plan for the project, to define milestones
and to schedule release dates
- This project plan is then imported into ARCWAY Cockpit and the tasks are divided into
individual work items
- The work items are managed in ARCWAY
Cockpit including regular updates to the work items to track
the progress
- Repeated synchronizations bring the project plan
up-to-date
Synchronize
You can synchronize tasks with MS Project™. Synchronization works in
two phases. In the first phase the fields Actual
Work and Work Forecast are updated in
the MS Project™
file. In the second phase new tasks in the MS Project™ file are added to
ARCWAY Cockpit, tasks that no longer
exist in the original file are removed from ARCWAY Cockpit and existing tasks are
updated.
Please note that you can only synchronize project plans with MS
Project™.
To synchronize tasks with MS Project™...
- Select the desired project in the Project
Navigator
- Right click the root node of the project and select Synchronize in the context popup menu. This will
activate the synchronize wizard
- Select Synchronize tasks with Microsoft
Project and click Next.
-
On the next page you may select the project plan and the file to
be synchronized.
Once again, hit Next to get to the next
page
-
On this page you may select which tasks shall be synchronized
and which fields (Actual Work and Work Forecast) in the MS Project™ file shall be updated.
- Finally, hit Finish and the selected
tasks will be synchronized*
When you synchronize a project plan, the existing project plan
in ARCWAY Cockpit is updated to reflect
the changes of the project plan being imported. This means...
- Changed tasks that exist in ARCWAY
Cockpit and in the original file will be updated
- New tasks that appear in the original file will be added to the
project plan in ARCWAY Cockpit
- Deleted tasks that appear in ARCWAY
Cockpit, but are no longer present in the original file will
be deleted. If work items are assigned to any such task, these work
items will not be deleted, but will appear as unassigned work items
after the synchronization
